These terms and conditions apply to all direct bookings made with Alder Barn Retreat. By paying a deposit or confirming a booking, you agree to the terms below.

 

1. Booking and Payment

  • A 30% deposit is required to secure your booking. No dates are confirmed until the deposit has been received and acknowledged. 
  • The balance is due 6 weeks (42 days) before your arrival date.
  • If your booking is made within 6 weeks of arrival, full payment is required at the time of booking. 

 

2. Cancellations

  • If you cancel more than 6 weeks before arrival, the deposit will be retained, but no further charges will apply. 
  • If you cancel less than 6 weeks before arrival, the full balance is payable, and no refund will be issued unless we are able to rebook your dates. 
  • We strongly recommend travel insurance to cover unexpected cancellations. 

 

3. Check-in/Check-out

  • Check-in: From 4:00 pm on the day of arrival. 
  • Check-out: By 10:00 am on the day of departure. 
  • Please respect these times to allow for cleaning and preparation for the next guests. 

 

4. Use of the Property

  • This property is for the use by the named guests only and must not exceed the agreed occupancy (maximum 6 people unless otherwise agreed).
  • No parties or events are permitted unless agreed in writing in advance. 
  • The property is strictly non-smoking. 
  • Pets are not allowed unless agreed upon prior to booking. 

 

5. Damage and Breakages

  • Guests are responsible for any loss, breakages, or damage during their stay. 
  • Please report any issues promptly so we can arrange repairs or replacements. 
  • We reserve the right to charge for excessive cleaning or repairs when necessary. 

 

6. Right of Access

  • We or our representatives reserve the right to enter the property at any reasonable time for essential maintenance or inspections, with appropriate notice. 

 

7. Liability

  • We accept no responsibility for personal belongings, vehicles, or injuries sustained during your stay, unless caused by our negligence.

 

8. Complaints

  • Please raise any concerns as soon as possible during your stay so we can resolve them. 
  • We cannot accept complaints after departure if no attempt was made to report them during your visit. 

 

9. House Rules

  • Please be considerate of neighbours and keep noise to a minimum between 10:00 pm and 8:00 am. 
  • Do not move furniture between rooms. 
  • Leave the property in a tidy conditions: bins emptied, dishwasher run or loaded, and spills cleaned. 
  • Third-party bookings are not allowed - the person booking must be staying unless agreed in advance. 

 

10. Lost Property

  • Any items left behind will be kept for 14 days. Return postage can be arranged for a small fee to cover packaging and mailing. 

 

11. Wi-Fi and Smart TV Use

  • Free Wi-Fi is provided, but must not be used for illegal purposes (e.g. downloading copyrighted or restricted content). 
  • TVs are set up with apps like Netflix and BBC iPlayer. Guests must use their own login details and log out before leaving. 

 

12. Parking and Access

  • Parking is available on-site for up to 3 vehicles. 
  • Vehicles and contents are left entirely at the guest's own risk. 

 

13. Force Majeure

  • We cannot accept responsibility or offer compensation for circumstances beyond our control, such as severe weather, power cuts, pandemics, or government restrictions. 

 

14. Security Deposit

  • A £100 refundable security deposit may be requested before arrival. This will be refunded within 7 days of departure, subject to no damage, loss, or excessive cleaning required.

 

15. Breach of Terms

  • We reserve the right to terminate a stay without refund if these terms are significantly breached, including property damage, exceeding guest limits, or antisocial behavior.
